How we collect, use, share and protect your personal data.
01About this notice
This notice explains how Appledot Studio, as organiser of Affiliate Expo 2026, handles personal data in connection with registration, payment, attendance and event communications under the Personal Data Protection Act 2010 (Act 709), as amended. Contact: convention@appledotstudio.com.
02Data collected and sources
We collect participant and payer names, mobile numbers and email addresses directly from you or an authorised person registering on your behalf. Our systems generate ticket and order numbers, payment status and transaction references, admission scan records, and communication delivery records. We also process website security logs, including IP addresses and browser information, and event photographs and recordings. We do not store payment card numbers.
03Purposes of processing
We use personal data to administer registrations, payments, receipts and admission; prevent ticket misuse; provide participant support; communicate event updates; manage safety; maintain required records; and prepare event reports and promotional coverage. Required registration fields must be completed for us to issue and verify tickets. Optional marketing preferences do not affect admission.
04Processing and consent
We process data where necessary to fulfil your ticket booking, comply with legal obligations, or with your consent where required. Anyone submitting another person’s details must have permission to do so and make this notice available to them. Promotional messages require separate consent. Sensitive information volunteered for assistance is handled only for the stated purpose and with explicit consent where required.
05Service providers and disclosures
We disclose relevant data only as needed to payment, hosting, database and communication providers, authorised event personnel and appointed media partners performing the stated purposes, or to authorities where legally required. We do not sell personal data or rent participant lists. Where service providers process data outside Malaysia, transfers must meet applicable Malaysian data protection requirements and appropriate safeguards.
06Exhibitors and voluntary sharing
We do not provide participant contact lists to exhibitors. If you choose to share information at an exhibitor’s booth, submit a sample application or use a data-sharing feature, the recipient’s privacy notice applies to its processing. Review the information requested and the recipient’s terms before sharing.
07Retention
Ticket and attendance records are retained for up to three years after the event, payment and receipt records for seven years, and communication delivery records for up to two years. Records are deleted or anonymised when no longer required, subject to applicable legal retention requirements or unresolved claims. Event media and security logs are retained only for as long as reasonably needed for their stated purposes.
08Data security
We use appropriate technical and organisational measures to protect personal data and restrict access to authorised persons. Security incidents are handled in accordance with applicable legal obligations, including notification where required.
09Your rights and requests
Subject to applicable law, you may request access to or correction of your data, withdraw consent, object to direct marketing, request applicable limits on processing, or request data portability where available. Email convention@appledotstudio.com with sufficient information to verify your identity. We respond within the applicable statutory timeframes. Withdrawal may affect services that depend on the relevant data; we will explain any consequences. You may also complain to Malaysia’s Personal Data Protection Commissioner.
10Cookies and website storage
Essential cookies or similar browser storage support website functions, security and your language preference. The website does not use third-party advertising cookies or track you across other websites. You can manage browser storage in your browser settings; disabling necessary functions may affect the website.
11Communications and recordings
Essential ticket and safety communications are sent to administer your booking. Optional promotional messages are separate and may be stopped using the unsubscribe facility or by contacting us. To raise concerns about event photographs or recordings, contact us or notify the registration team. We will assess requests in accordance with applicable law.
12Participants under 18
Registration for participants under 18 must be completed by a parent or guardian, who must provide the necessary permission and accompany them with a valid ticket.
13Updates and contact
The date displayed identifies the latest revision. Material changes affecting active ticket holders will be communicated by email. For privacy enquiries or requests, contact Appledot Studio at convention@appledotstudio.com.
